Description

In order to increase access to justice for people facing immigration court, ImmDef is currently hiring additional legal and administrative staff.

The Immigrant Defenders Law Center (“ImmDef”) is a next-generation, social justice law firm that provides high-quality representation and legal services to immigrants in Southern California. Reporting directly to the Human Resources Manager, the HR & Payroll Associate is responsible for day to day HR, payroll and administrative tasks in support of ImmDef's HR Department. Job duties consist of various responsibilities across a range of HR disciplines, including payroll, recruiting, onboarding, benefits administration, and employee relations. Additionally, the Human Resources Assistant will be responsible for planning organization events throughout the year.

Payroll & HRIS

  • Enter, maintain, and/or process information in the Paychex Time and Attendance and HRIS modules; information may include staff hourly rates, salaries, or other compensation, time worked, paid leave and holidays, deductions and withholding, address changes, and other information;

  • Ensure accurate and timely processing of payroll updates including new hires, terminations, and changes to pay rates ahead of biweekly payroll processing schedule;

  • Prepare and maintain accurate records and reports of payroll transactions.

 

Recruiting & Onboarding

  • Post and maintain job ads for all vacancies within the organization;

  • Coordinate interviews including scheduling, drafting invitations and other recruiting correspondence, applicant folder preparation and other administrative tasks;

  • Serve as initial point of contact for new hires and complete pre-hire and new hire paperwork and administrative duties in a timely manner;

  • Prepare for and assist with new hire orientation program to include overview of policy and culture, internal procedure guidelines and facility tour.

 

Benefits

  • Maintain employee benefits filing systems and ensure benefits changes are entered appropriately in payroll system for payroll deduction;

  • Assist employees with health, dental, vision, and/or FSA benefit questions;

  • Communicate directly with insurance carriers regarding staff benefit enrollment, termination, and changes;

  • Prepare for and assist with new hire benefits orientation.

 

HR Administrative Function

  • Provide administrative support to ImmDef's HR program including maintenance of staff files, organization charts, directories, etc;

  • Other administrative tasks as needed to support the HR department, including verifications of employment, running and analyzing reports, preparing correspondence, completing termination procedures for departing staff, assisting with coordination of staff trainings, etc.

 

Miscellaneous

  • Organize annual staff appreciation event, holiday party, and other organization-wide events;

  • Provide necessary admin support for all-staff meetings, in-house trainings, staff committees, etc;

  • Assist with staff travel arrangements and conference, workshop and off-site event registration;

  • Compose weekly staff newsletter;

  • Assist with general tasks as part of ImmDef's Admin Team.

  • Excellent interpersonal skills and the ability to build relationships across the organization;

  • Strong written and verbal communication skills;

  • Demonstrated proactive approaches to problem solving and ability to think critically and creatively;

  • Highly resourceful team player, with the ability to also excel independently;

  • Ability to maintain discretion and confidentiality with highly sensitive information.

 

Required Education and Experience

  • B.A. with 1-3 years’ experience in with payroll; or, High School Diploma with 2-4 years’ experience in payroll;

  • Demonstrated ability to take initiative and work under pressure

  • Enthusiasm for working at a progressive, start-up organization

  • Passion for social justice for immigrants required!

Preferred Education and Experience

  • Experience with Paychex HRIS and/or other Payroll database(s).

Benefits

$18 - $23 per hour DOE

 

Holidays and Paid Time Off

  • 12 paid holidays;

  • 1-week paid winter break between Christmas and New Years;

  • 15 vacation days per year;

  • 12 sick Days per year.

 

Health, Dental and Vision Insurance

  • ImmDef offers a number of health plans that are 100% paid plans for staff starting on the 1st of the month following 30 days of employment;

  • Additionally, we pay 75% of the premiums for select plans for immediate family members, including registered domestic partners.

FSA and Dependent Care FSA

  • ImmDef offers FSA plans to help offset the costs of eligible health care expenses for you, your spouse, and your eligible dependents using pre-tax dollars;

  • We also offer Dependent Care FSA to pay for eligible dependent care services, such as preschool, summer day camp, before or after school programs, and child or adult daycare.

 

401(k) Retirement Savings Plan

  • ImmDef staff are eligible to enroll in our 401(k) plans immediately upon hire, contributing pre-tax dollars towards their retirement goals;

  • After six months on staff, ImmDef will match 100% of contributions up to 3%;

  • Funds are vested immediately!

 

Public Service Loan Forgiveness

  • As a 501(c)3, qualified ImmDef staff are eligible for Public Service Loan Forgiveness.

 

Parking and Travel Stipend

  • ImmDef Staff commuting into our DTLA office are eligible for reimbursement of parking or public transit costs up to $90 per month.
