Finance and Administration Associate

Los Angeles, CA

Reporting to the Comptroller, the Finance & Administration Associate (FAA) will be primarily responsible for assisting with Accounts Payable (A/P), Accounts Receivable (A/R), purchasing, payroll and audit prep. The FAA will have a focus on financial administrative duties, but should expect to assist with various organizational, administrative and operations tasks for a significant portion of his/her time as well. For this reason, the FAA should consider him/herself a team player with an ability to take direction easily and/or work independently as needed.

Essential Functions

  1. Accounts Payable

    1. Review all invoices, check requests and reimbursements with supporting documentation and approval prior to payment

    2. Maintain vendor filing systems, soft and hard copies

    3. Make routine and/or approved supplies, travel, meeting, and other expense purchases

    4. Maintain all A/P filing systems, soft and hard copies

  2. Accounts Receivable

    1. Aid in the preparation of invoices

    2. Work with billable hours database

    3. Track reimbursable expenses for all funding sources

    4. Maintain all A/R filing systems, soft and hard copies

  3. Enter data into Quickbooks

  4. Collect, review and submit all staff timesheets for approval

  5. Assist with audit prep as necessary

  6. Other finance, administrative and operations duties as assigned

  • Proficiency in Microsoft Office Suite


Required Education and Experience

  • B.A., or High School Diploma/GED with 3-5 years of related experience

  • 1-3 years experience supporting administrative or financial work

  • Demonstrated ability to take initiative and work under pressure

  • Enthusiasm for working at a progressive, start-up organization

  • Passion for social justice for immigrants required

  • DACA recipients encouraged to apply


Preferred Education and Experience

  • Four-year degree in Accounting, Finance, Business, Economics or related field highly preferred

  • Proven stability in past employment endeavors

  • Proficiency in QuickBooks

  • Classes in Accounting, Business, Finance, and/or Economics

Additional Eligibility Qualifications
None required for this position. 

Supervisory Responsibility
This position has no supervisory responsibilities.

Classification and Work Schedule
This is a full-time, non-exempt position. Office hours are Monday through Friday, 9 a.m. to 5:30 p.m., but work schedule may be flexible based on the needs of the organization and/or the qualified candidate.

Work Environment and Physical Demands
This job operates in a professional office environment. This is largely a sedentary role; however, some filing is required. This would require the ability to lift files, open filing cabinets and bend or stand as necessary. 

No travel is expected for this position.


$17-19 per hour, commensurate with experience + generous benefits package, including health, dental, sick and vacation time, 12 paid holidays/year, and our office is closed between Christmas and New Years Eve.
