In response to the current crisis of family separation, detention and need for legal representation, ImmDef is now hiring additional legal and administrative staff. ImmDef seeks a full-time Director of Finance and Administration. As a member of ImmDef’s directorial team, the Director of Finance and Administration will have the opportunity to help develop and advance our mission-driven organization. The Director will be an integral part of ImmDef’s leadership team and will report to the Executive Director.

 

The successful candidate will be a hands-on and participative manager and will lead and develop an internal team to support the following areas: finance, business planning and budgeting, and administration.

The Director will be responsible for direct supervision of a growing team including the Comptroller, Human Resources Manager and Operations Manager/Coordinator. The Director will additionally be responsible for management of vendor relationships, including outsourcing arrangements in critical areas such as IT, payroll and HR.

 

The Finance and Administration Director will play a critical role in partnering with the senior leadership team in strategic decision-making and operations. This is a tremendous opportunity for a finance and operations leader to maximize and strengthen the internal capacity of a growing and dynamic non-profit.

 

RESPONSIBILITIES

Financial Management and Business Planning:

  • Provide direct supervision to the Comptroller in all aspects of finance including audit preparation and oversight, tax and financial filings, budgeting, and organizational policies and procedures;

  • Ensure timely and accurate filing of all financial documents, including tax returns and Form 990;

  •  Analyze and present financial statements and reports in an accurate and timely manner, keeping senior leadership abreast of Organization’s financial status and effectively presenting to the Board of Directors any critical financial developments;

  • Oversee annual budgeting and planning process in conjunction with the Executive and Associate Directors and review all financial plans and budgets throughout the fiscal year;

  • Manage organizational cash flow and forecasting to best support operational needs, complying with contract billing and invoicing as needed;

  • Direct all financial, project/program and grants accounting, management and reporting;

  • Develop a robust contracts and financial management/reporting system, organizing financial reporting materials for development purposes and annual report;

  • Develop new organizational policies and accounting practices, while revising those already in place as needed;

  • Oversee any associated revisions to the finance department’s policy and procedure manual;

  • Using sound judgement and analysis of both internal and external data and trends, the Director should anticipate and react to the need for change, including the development of strategies for organizational growth and expansion.

 

Technology and Administration:

  • Provide direct supervision to the Operations Manager/Coordinator;

  • Working with Organization’s IT firm, establish and manage a comprehensive training program to educate staff regarding technological tools, policies, and procedures;

  • Collaborate effectively with all third-party vendors and consultants;

  • Oversee administrative, operations and facilities functions to ensure efficient and consistent administrative support and operations as the organization expands;

  • Provide direction and guidance in the development and maintenance of robust risk management policies and practices. This includes but is not limited to all organizational insurance and compliance activities.

 

Human Resources Management:

  • Direct and supervise Human Resources Manager in all aspects of human resources, including staff planning and development, organizational structure, compensation, employee relations, union relations, labor relations, and performance management;

  • Establish and refine as necessary an approach to HR functions that improves the overall operation and effectiveness of the organization;

  • Enhance and/or develop, implement, and enforce HR procedures as appropriate;

  • Working closely with the ImmDef’s senior leadership, strategize long-term staffing plans, including organizational structure, distribution, and allocation of key areas of responsibility.

  • Additional Duties

  • Ensure that administrative staff are trained and well-informed on departmental goals and objectives, as well as the organization's policies and procedures;

  • Provide direction, coaching, and mentoring to ensure high levels of productivity and motivation, as well as a positive working environment. Lead by example;

  • Provide ongoing feedback to supervisees and complete written performance evaluations;

  • Other duties as assigned by the Executive Director. 

 

QUALIFICATIONS

Preferred Qualifications:

  1. Minimum of an MBA/MA/JD/CPA in Non-Profit Management, Organizational Management, Business, Human Resources, Finance, Accounting, or related advanced degree;

  2. At least 7 to 10 years of overall professional experience, ideally 6-plus years of broad financial and operations/HR management experience with a nonprofit organization and/or corporate employer;

  3. Expert knowledge and understanding of 501(c)(3) rules and regulations;

  4. Experience with HR services in a unionized work environment;

  5. Ability to effectively communicate financial concepts of varying degrees of complexity to programmatic and fundraising colleagues without backgrounds in finance;

  6. Advanced analytic, organization, problem-solving and time-management skills that support and enable sound decision-making;

  7. Excellent communication and relationship-building skills, with an ability to prioritize, negotiate, and work with a variety of internal and external stakeholders;

  8. A multitasker with the ability to excel in a fast-paced, multi-faceted environment; 

  9. Personal qualities of integrity, credibility, and dedication to social justice;

  10. Preference given to candidates with a demonstrated track record in leading the development of financial and HR departments during a time of significant organizational growth;

  11. Experience in having final responsibility for the quality and content of all financial data, reporting, and audit coordination for an entity or organization;

  12. Technology-savvy with experience selecting and overseeing software installations and managing relationships with software vendors;

  13. A track record in grants management.

Salary and Benefits

Salary

  • $80,000 - $100,000 annually DOE

Holidays and Paid Time Off

  • 12 paid holidays including Indigenous Peoples’ Day

  • 1-Week paid winter break between Christmas and New Years

  • 15 vacation days per year

  • 12 Sick Days per year

 

Health, Dental and Vision Insurance

  • ImmDef offers a number of health plans that are 100% paid plans for staff starting on the 1st of the month following 30 days of employment.

  • Additionally, we pay 75% of the premiums for select plans for immediate family members, including registered domestic partners.

 

FSA and Dependent Care FSA

  • ImmDef offers FSA plans to help offset the costs of eligible health care expenses for you, your spouse, and your eligible dependents using pre-tax dollars

  • We also offer Dependent Care FSA to pay for eligible dependent care services, such as preschool, summer day camp, before or after school programs, and child or adult daycare.

 

401(k) Retirement Savings Plan

  • ImmDef staff are eligible to enroll in our 401(k) plans immediately upon hire, contributing pre-tax dollars towards their retirement goals

  • After six months on staff, ImmDef will match 100% of contributions up to 3%

  • Funds are vested immediately!

 

Public Service Loan Forgiveness

  • As a 501(c)3, qualified ImmDef staff are eligible for Public Service Loan Forgiveness

 

Bar Dues

  • ImmDef covers California Bar Dues up to $450 annually

 

Parking and Travel Stipend

  • ImmDef Staff commuting into our DTLA office are eligible for reimbursement of parking or public transit costs up to $90 per month.
