Administrative Coordinator

Reporting directly to the Support Services manager, the Administrative Coordinator will directly supervise a team of support staff team members and be a key member of our support staff leadership team. The Administrative Coordinator will be responsible for assisting with the implementation and coordination of organization policies and procedures supporting ImmDef’s provision of legal services to hundreds of immigrants facing deportation proceedings. This position will have a heavy focus on coordinating data collection, reporting and submission to funders. 

Essential Functions

  • Provide direct supervision, support and guidance to direct reports including receptionists, administrative assistants and legal assistants, as well as other staff members as assigned/needed on a permanent or temporary basis;

  • Participate in the recruitment, hiring and onboarding of new support staff members;

  • Provide guidance to direct reports to support their professional development;

  • Assist Support Services Manager in increasing standardization of administrative functions across organization and ensure administrative policies and procedures are working efficiently and sustainably;

  • Provide support by overseeing and coordinating the maintenance, organization and upkeep of ImmDef’s SharePoint site.

  • Assist with overseeing, managing and delegating tasks related to ImmDef’s Cerenade case management database;

  • Assist with the overseeing, managing and delegating tasks related to all contractual data reporting;

  • Running monthly data reports to ensure ongoing staff compliance with all contractual data reporting requirements and in order to provide leadership with ongoing internal metrics checks;

  • Provide support with development of onboarding procedures to ensure that all training needs for support staff are being met;

  • Provide support with the implementation, management and delegation of tasks related to the maintenance of referral mechanisms for all contracts and projects;

Required Education and Experience

  • Bachelor’s degree preferred, but will consider significant work experience in lieu of degree if warranted;

  • Demonstrated ability to take initiative and work under pressure;

  • Enthusiasm for working at a non-profit organization

  • Passion for social justice for immigrants required


Preferred Education and Experience

  • Bilingual English/Spanish is required


Additional Eligibility Qualifications

None required for this position. 

Supervisory Responsibility

This position has supervisory responsibilities, supervising a team of four to six direct reports.

Classification and Work Schedule

This is a full-time, exempt position. Work schedule is Monday through Friday, 9 a.m. to 5 p.m. with flexibility required based on the needs of the organization.

Work Environment and Physical Demands

This job operates in a professional office environment. This is largely a sedentary role; however, some filing is required. This would require the ability to lift files, open filing cabinets and bend or stand as necessary.



No overnight travel is expected for this position. There may be occasional local day travel.

Salary & Benefits


  • $21 - $26 per hour DOE

Holidays and Paid Time Off

  • 12 paid;

  • 1-Week paid winter break between Christmas and New Years;

  • 15 vacation days per year

  • 12 Sick Days per year

  • ImmDef offers a number of health plans that are 100% paid plans for staff starting on the 1st of the month following 30 days of employment

  • Additionally, we pay 75% of the premiums for select plans for immediate family members, including registered domestic partners

  • ImmDef offers FSA plans to help offset the costs of eligible health care expenses for you, your spouse, and your eligible dependents using pre-tax dollars

  • We also offer Dependent Care FSA to pay for eligible dependent care services, such as preschool, summer day camp, before or after school programs, and child or adult daycare


401(k) Retirement Savings Plan

  •  ImmDef staff are eligible to enroll in our 401(k) plans immediately upon hire, contributing pre-tax dollars towards their retirement goals

  • After six months on staff, ImmDef will match 100% of contributions up to 3%

  • Funds are vested immediately!


Public Service Loan Forgiveness

  • As a 501(c)3, qualified ImmDef staff are eligible for the Public Service Loan Forgiveness Program.


Parking and Travel Stipend

  • ImmDef Staff commuting into our DTLA office are eligible for reimbursement of parking or public transit costs up to $90 per month.
